This is part 4 in a series on Digital signatures using Revu 2018. To add digital signatures in Bluebeam Revu 2018 is slightly different than in previous versions. With the new Revu 2018 interface the signature moved from the Document menu to the Tools Menu. Everything else remains the same throughtout versions. This video will show how to add digital signature fields to documents, how to add your digital signature, how to remove your digital signature and fianlly, how to delete the signature field.

Recommnendations When Creating Signature Fields

Place fields on the document where you want people to sign. You can add as many signatures as you like. To add fields for digital signatures, open the document in Revu and choose Tools/Form/Digital Signature. Click, then drag a rectangle where you’d like the digital signature to go. Continue this process for all of the digital signatures you want on the document, then press ESC when finished.

Change the Properties of digital signature fields to assign them at least a name and a tooltip. This information pops up when the user hovers over the signature field, so everyone will know who’s expected to sign.

If the signature is required, indicate so by checking the “REQUIRED” Option in Properties. Required signatures have a red box around them.
Press ESC when all signature fields have been added. Save the PDF.

Making Room for your Bluebeam Signature if it isn’t already there

If you need to Sign a document and there’s no field already there for your signature, just add it using Tools /Signature/Sign Document.

Here’s How to place Digital Signatures in Bluebeam Revu 2018:

The last tip is how to delete a digital signature field. They’re stubborn because every time you click on them, they ask you to sign! Here’s the trick: Press ESC to make sure you’re not in any other commands. Next choose Tools/Form/Digital Signature. The digital signatures will “light up”. Now right click and choose “x Delete Signature’

This is number three in a a four part series on Digital Signatures. Business requires that you can verify digital signatures and ensure your document hasn’t been altered. It’s a matter of trust but verify. With all the hacking and email phishing, validation is the key to trust in business. Verifying digital signatures on PDFs digitally signed using Bluebeam Revu can be tricky, which is why we’re blogging about verifying digital signatures and including a video. No 3rd party service is required to digitally sign PDFs. Bluebeam Revu is all you need.

Why is verifying digital signatures tricky?

It requires you send your Digital ID, as a trusted source, to others. This is typically used when you’ve self-created a Digital ID file or a Digital ID in the Windows Certificate Store like you can in Bluebeam Revu. The trick is on the receipient’s side, with the first signed document you send to them. The digital ID must be listed as a trusted source in Windows on the receipient’s computer or network. Getting that certificate into their trusted sources list is a few steps. You only need to send your certificate once. FYI- Microsoft Outlook will not allow you to email a digitial ID certificate. Instead, share the file thru a file sharing app or Bluebeam Studio.

This video shows the validation, how to create, send the certificate, and add it to trusted sources. If you’re on a budget and sign documents digitally with the same people all the time, this is just another benefit of Bluebeam Revu. Smaller firms will be happy to find this feature in Revu… Happy signing!

Bluebeam Revu allows you to avoid the ongoing added expense of a 3rd party app and is ideal for firms with a limited volume of legal documents to digitally sign.
Note: When using a third party digital signature solution, this process is not necessary as the service handles the trusted certificate to verify digital signatures.

All digital signatures are electronic, but not all electronic signatures are digital. Bluebeam digital signatures creation is easy and you can then use them to sign any PDF! For companies on a budget that need an occasional signature this is for you. You already own Bluebeam so why not use their digital signatures feature.

There are three different types of Bluebeam digital signatures creation choices. If you work for a larger organization, your IT team may already have a system for the creation of digital IDs. If that’s the case, you’ll use the ID you already have. You can also create a Digital ID in the Windows certificate store or create a digital id using the PCKS#12 format.

Creating Your Digital Certificate

If you don’t already have a Digital ID, and don’t have any IT experience, create is PKCS #12. It’s common because it’s standards-based and works across systems. This is the type we create in the video (below). When you create a PKCS #12 digital id, you’ll need to set a password. The password must be at least 5 characters, and you want to make sure you remember it (or keep it in a secure location). If you forget your password, you won’t be able to digitally sign a document, and you’ll have to create a new digital signature! So don’t lose it! (Aren’t you glad we’re telling you now?!)

Let’s walk you through the steps to make a digital signature. We’ll use the image you made of your electronic signature in our previous blog post.

Now that you have your digital ID created, watch for our next blog post on how to send your digital ID to other, so your signature can be verified outside your firm. This is important for legal contracts as they are likely to need verification. This is especially true if the only document you execute is a digital one. Trust but verify!
