What is the benefit to creating a PDF Summary Template? It allows you to maintain a consistent brand image to your Markup Summary Reports. You can add a Company Logo, Project Image, footer with your website, address, phone number, etc. to the template, and have multiple templates to choose from.

When asked “How do I add my company logo to my PDF Summary Report” I’ve seen numerous answers like:

Go to Tools | Markup | Image

Create a stamp, place it on your report and right click on the Stamp to Apply to Pages…

Make a stamp and use Batch Stamp to apply it to pages

Make a PDF Summary Template

If efficiency is your goal the best answer is the last choice. Using a PDF Summary Template eliminates having to perform another process like manually adding your logo image or other information after the report is generated. Because you can create more than one template, you may also create project specific templates. So let’s get started!

PDF Summary Template Basics

I frequently get asked how to Drag N Drop or Move pages between documents in Bluebeam Revu. People say they can only copy/cut and paste from the Thumbnails panel, but there’s an easy way to accomplish this. It’s just not blatantly obvious… Open two instances of Revu.

We created a video of the steps to make it simple to follow below:

Drag N Drop or Move Pages between Documents in Bluebeam Revu

In the Thumbnails panel you can drag n drop pages to rearrange the order quickly and even use the multi-select functions in Windows. Holding the Shift key while clicking allows you to select a range of pages and the Control key selects non-contiguous pages. Moving pages this way works well within one document. Once you’ve selected the pages you can drag n drop them to the position you wish to place them.

Move pages in Bluebeam Revu

Drag N Drop Pages with 2 Instances Running

For drag n drop to work or move pages between documents in Bluebeam Revu without using cut/paste simply launch another instance of Revu. It’s easy.

Move your mouse down to the taskbar

Hold down the SHIFT key

Click on the “R” logo of Bluebeam

A second Bluebeam Revu instance launches where you can open a different document. Because you’ll want to see both documents while working, let’s make both instances viewable simultaneously. To place them side by side, snap each instance, one to the left of your Windows screen (WIN key + Left Arrow), and the other to the right (WIN Key + Right Arrow). Now in Bluebeam open your Thumbnails panel in both instances. Then Drag N Drop the page thumbnails to/from one document to another! Hope this speeds up you process! Note: Running a second instance does not use another license of Revu.

In Bluebeam Revu 20 they have added the hexagon shape for both text boxes and callouts. This is a new feature but has a quirky result when you want to make a Bluebeam Hexagon adding leader lines.

Bluebeam Tip: When Adding Leader Lines to a Hexagon Text Box or Callout

Firstly, you can only have leader lines on 4 sides, not six. Secondly, the leader lines may appear as beginning inside the hexagon, rather than attached to the edges and outside of the hexagon. Leaving the leader lines appear as starting inside looks odd and should be corrected. To neaten this up, you’ll need to drag the handle of the leader line bend to outside the hexagon. Do not confuse this with the handle of the text box as that won’t help you. You’ll end up need to correct multiple leader lines that you already had fixed.

The video below explains clearly which handle you need to grab to make the Hexagon shaped tool with one or more leader lines connect properly in Bluebeam Revu 20. You may also add multiple leader lines to a single side. Note: The hexagon shape was not available in previous release levels of Bluebeam Revu.

Why Use a Hexagon on a Drawing?

I’ve seen the hexagon shape used occasionally on plan sets to address the sheet and detail number being referenced. The hexagon is more often used as a revision symbol or flag note on a dimension or feature. In older drawing in particular the hexagon designates an Engineering Change Notice or Engineering Change Order per ANSI Standards. If you’ve seen the hexagon shape used and can share sample images, please send those images to me and I’ll add them (with your kudos attached) to this post. Let’s help others in the AEC industry!

Bluebeam’s Help for the Dimmer feature is very good, (see image below) however it’s missing one thing. A warning: if you leave the Dimmer ON and go to print the document, the document content may not print. You may end up with just the markups printing. This could drive your team crazy so as a best practice, place a text box markup stating Before you Print, Turn the Dimmer OFF for content to also print, especially if you are sharing this document with other who may never have used the Dimmer feature.

This Bluebeam’s XCON 2019 exhibitor helps you with construction video capture (and photos, including 360 degree photos)… StuctionSite. Avoid image bloated PDFs with this powerful tool and make progress tracking easy.

Video Walk Thrus in context on your floor plans with StuctionSite

This video is an overview of photo capture, and their video walk tool. It’s 360° stitching of your job walk by StructionSite at the Bluebeam #XCON2019 Conference. Thanks to Kalyn and Chris for their time and sharing the vision of construction project photos management and use cases in conjunction with Bluebeam Revu.

Bluebeam + SmartTrack = Production Tracking

Bluebeam Revu users can take their quantity take-off and upload it to StructionSite. By using this data from the contract documents, StructionSite’s SmartTrack calculates quantities and percentages to completion. SmartTrack applies artificial intelligence to 360 image data, to accomplish this for you. Take this capture data and map it into an analytics platform such as Power BI to relay to the field team your production status.

My take: It’s construction video capture and production tracking magic!

Automate site capture, effortlessly track completed work, and impress the owner.

Construction video capture with 360 photos is here. StructionSite works with popular 360 degree cameras like Ricoh Theta V, Garmin VIRB, LG360 and Insta360 ONE X. This technology separates you from your competition. And best of all, integration with Bluebeam Studio Prime is coming. See your photos and videos in context on your floor plans. Contact Chris Jervey here to request more info on their Bluebeam integration and to get started.

While attending the XCON Conference in Washington DC last month I had a chance to talk with a few exhibitors including Volanti Displays. This interview showcases something new and they’re looking for feedback from all Bluebeamers and construction pros. This is first in a series of interviews as we’ll be sharing a few more throughout the week. Stay Tuned!

Volanti Displays was showcasing a large touchscreen portable unit that is great as a jobsite incident command station. No worries about breaking the screen with this set-up.

Volanti Displays Incident Command Station

What do you use on your jobsite when you need a larger than 17″ monitor at your jobsite? Not only will this display let everyone see what you’re working on, it’s touch screen and unit comes with all the bells and whistles for communication, touch and more!

Those metal Conex boxes aren’t really helping you logistically, are they? Now that you’ve seen the components, what would you suggest adding to make your work at the jobsite easier? I was thinking about building in a Bluebeam Mousepad into the styrafoam myself. How bout a Nvidia graphics card and make this a BIM and Bluebeam command center?

Add your ideas into the comments and I’ll make sure to pass them on to Mike.

If you want to reflect professionalism, remember to use Bluebeam Spell Check. Spell Check is a must do whether you use Word, Outlook or Bluebeam Revu and too many people skip the step. Actually it’s two steps. You can Spell Check your Markups and Form Fields, or Spell Check the Content.

Bluebeam Spell Check for Markups and Form Fields

When spell checking Markups and Form Fields, you have the opportunity to correct spelling errors; Spell checking PDF content will identify spelling errors, but does not offer a mechanism for changing a spelling (although in some cases you can use Edit Text to change a spelling).

Like in MS-Word, F7 is the keyboard shortcut to start the spell check for Markups and Form Fields. The long way is Go to Edit > Check Spelling > Check Spelling in Markups and Form Fields, not that you’ll ever need to know that again. Squiggly lines will appear beneath unrecognized words. You can then right click for replacement words to choose from.

Bluebeam Spell Check for Content

Bluebeam Spell check also has the ability to spell check content. Go to Edit > Check Spelling > Markup Spelling Mistakes. Sorry but Bluebeam didn’t include a shortcut key. Might I suggest creating a custom keyboard shortcut in Revu 2018 and higher, like Shift + F7 (FYI-That’s used for the Thesaurus in Word).

NOTE: As of the writing of this article, Spell Checker does not checking spelling in any custom columns.

Hope this all helps. Now go get ’em Bluebeamers!

Bluebeam Training Effectiveness

Because Hagen Business knows effectiveness is best measured by lesson retention, our students learn best by doing with examples and exercises. We also encourage students to share their knowledge with co-workers immediately. Why? So lesson retention increases to 90%.

Immediate Feedback Loop

Because adult learners prefer immediate feedback, each session may extend up to 30 minutes for questions. Most importantly, please attend our Free Fridays “Ask Us Anything Bluebeam” for additional follow-up. We’re here to help.

Cheryl Kay, a Bluebeam Certified Instructor, will lead these classes. Each 1-hour web class is “Extremely” affordable at just $35 per person.

If you are a current customer of Hagen Business Systems Inc., with an active annual maintenance subscription, all these classes are free (please reserve your spot via email). RSVPs are due 3 days prior to each class. No exceptions!

For most Bluebeamers it’s critical to productivity in the field and makes for fabulous owner project deliverables. There are two types of hyperlinks and a few options that can make a huge difference in the experience you deliver to the project team. These 5 hyperlink tips in Bluebeam Revu will have everyone thanking you.

Hyperlinks for RFIs

To link to a reference document like an RFI, instead of using the hyperlink, use Edit Action. To do this, right click on the markup you made while the yellow handles are showing (typically a box with the RFI number in it) then choose Edit Action. Edit Action makes the hyperlink moves with the markup. A Standard hyperlink assigns the position on the sheet in Bluebeam Revu which creates orphaned links.

Visible Hyperlinks

To make a hyperlink stay visible all the time, check the Visible option on its Properties tab. Define a Color and a Line Width and Style to set a box around it. (I personally like the light blue with dashed lines around it to set off the hyperlink from highlights of the same color. You may want to then click Set as Default). This is an option in Batch Link as well so you can create them uniformly.

Hyperlink to Drawing Details

To create hyperlinks to a specific detail on a drawing sheet, first open the Links Tab, and Add a Place using the Snapshot View for each detail on the sheet. Be careful to name the Place uniformly (i.e. 9. Stair Detail, 8. Elevator Detail, etc.). Then use Text Search to locate each detail reference throughout the document (detail 8 on sheeet A302) where you can check all then select hyperlink checked so it links all occurrences at once. This also makes it easy to replace a detail when changes are made. Note: Batch Link will only link to the correct sheet, not the specific detail on a page.

Hyperlinks in Studio Projects

When linking between PDFs in a Studio Project, open both files and be sure to check out the file the hyperlink is being created in. You don’t have to check out the file being linked to, but you do need to at least open it.

Hyperlink Tips in Bluebeam Revu – Best Practices

When linking between PDFs, use Jump To instead of Open. When selecting the PDF from the Jump To dropdown menu, only PDFs that are currently open in Revu will be available.
When sharing PDFs outside your organization, remember to Flatten your documents so the Hyperlinks work in other PDF programs. It’s hard to believe there are still people in in the AEC industry who don’t use Bluebeam Revu.
What other Hyperlink Tips in Bluebeam Revu would you add? Give us your feedback in the comments so everyone benefits!
